Hostess Club Software: Rotation, Requests and the Regular's Ledger
Table rotation, nominations, bottle keep, set charges and the sales ledger a hostess actually runs on. The operating math for hostess, host and KTV-style rooms, and what almost no software in this category models.
A hostess club, a host club and a KTV lounge look like three businesses and run on one engine: a room full of guests, a floor of staff, and a rotation deciding who sits where and for how long.
Everything that matters is downstream of that rotation. Which guest gets whose company decides what they spend tonight, whether they come back, and whose name they ask for when they do. Nothing in the room is more consequential and almost nothing in the category models it.
This is the operating math, in the terms the floor uses.
The vocabulary, since it varies by market

Terminology differs city to city. The structure does not.
Rotation: the schedule that is not a schedule
Rotation is the order in which staff move between tables. It is usually held by a floor manager, adjusted live, and written down nowhere.
It resists software for a legitimate reason: it is a live judgment about a room, and any system that cannot be overridden in three seconds will be abandoned on the first busy night. The mistake is trying to control it. The opportunity is recording it.
What is worth capturing is the outcome, not the plan:
For each pairing: who sat with which table, from when to when
That single record — nothing more — makes all of the following computable, and none of them are computable without it.
Pairing yield
Pairing yield = table spend during a pairing ÷ minutes of that pairing
What it decides: rotation itself. Some pairings produce several times what others do, consistently, and the floor manager knows this approximately. Written down, it becomes something transferable to a new manager rather than something that leaves when they do.
Time-to-first-order
Time-to-first-order = minutes from seating to first chargeable item
What it decides: where the rotation is too thin. A long median at a specific hour means tables are seated before anyone can attend to them, and the fix is a rotation change, not a sales conversation.
Nominations: the number that separates two businesses
A nomination — a guest asking for someone by name — is the single most important event in this format, because it converts a visit into a relationship.
Nomination rate = visits with a nomination ÷ total visits
First-time conv. = first-time guests who nominate on a later visit ÷ first-time guests
Nomination share = nominated visits for a person ÷ their total tables
What nomination rate decides: whether you are running a bar or a relationship business. A low rate means the room is the product and you must keep buying traffic. A high rate means your staff are the product, which is more profitable and more fragile — because the asset can walk.
What first-time conversion decides: whether the rotation is working. It is the closest thing this format has to a single quality metric, since it measures whether the first pairing was good enough to be requested again.
The fragility nobody plans for
In a high-nomination room, a departing staff member takes a measurable share of revenue with them. That risk is quantifiable in advance:
Concentration = share of nominated revenue held by the top N staff
If a large majority of nominated revenue sits with three people, you have a business risk that no amount of marketing offsets. Knowing the figure lets you decide deliberately — invest in those relationships, or deliberately spread nominations across a wider floor. Not knowing it means finding out during a resignation.
Set charges and extensions: where the pricing lives
Extension rate = guests who extended ÷ guests seated
Average extensions = Σ extension periods ÷ guests who extended
Effective hourly = total guest spend ÷ total minutes seated
Effective hourly is the honest price of your room and it is almost never the posted set charge. Comparing it across weekdays tells you which nights are genuinely priced correctly and which are being carried by a handful of long tables.
What extension rate decides: whether the set length is right. A very high extension rate means the set is too short and you are creating friction at every renewal; a very low one means it is too long and tables sit past their productive window.
Bottle keep: an asset and a return-date
Bottle keep is usually treated as storage. It is better understood as a scheduled reason for a guest to come back, with an expiry.
Open bottles = bottles kept, not finished, not expired
Return-by-expiry = kept bottles whose guest returned before expiry ÷ kept bottles
What return-by-expiry decides: whether your contact timing works. A guest with an unfinished bottle and three weeks left is the warmest possible contact and requires no offer, no discount and no pretext — just a reminder. Rooms that track expiry dates and contact accordingly convert at a rate that rooms working from a general mailing list do not approach.
The guest ledger, and where it should live
Every good hostess and host keeps a ledger — this guest's drink, their work, their birthday, what they talked about last time, what not to bring up. It is the actual product.
The question is who owns it. If it lives only in a personal phone, it leaves when they do. If it lives only in a central system nobody trusts, it does not get written.
The arrangement that works: the person keeps their own working notes, and the structural facts — visit dates, spend, nominations, bottle keeps, preferences that affect service — live in the venue's record, visible to the person serving that guest. Neither replaces the other. A system that tries to capture the personal ledger wholesale will simply not be filled in.
What almost no software in this category models
Run down the list: rotation as a recorded outcome, pairing yield, nomination rate and concentration, effective hourly, bottle-keep expiry. Most products in this space are a POS with a table map. They can tell you the room did well. They cannot tell you which pairings did it, whether the guests are attaching to people or to the room, or which unfinished bottle is about to expire.

In a business where a single high-nomination regular can be worth many times a walk-in, evaluating channels on first-visit spend is actively misleading, and lifetime value is the only sane basis.

Where to start
- Record the pairing — who sat with which table, from when to when. One row per pairing. Everything in the first half of this guide comes from it.
- Flag nominations at booking, so nomination rate exists at all.
- Put an expiry date on every bottle keep and contact before it, not after.
- Compute effective hourly per weekday and compare it to the posted set charge.
- Measure nomination concentration once. If the answer is uncomfortable, it is better known than not.
