Somebody needed it before payday and you helped. It was not written down, some of it came back, and neither of you now agrees on the balance — which is how a kindness turns into a grievance.

It protects them, not you

⚠️ ⭕ The person who has repaid most of it has no way to prove that without a record. ⭕ Said that way, nobody objects to signing.

What it does to your cash

Two effects, both invisible until they are not.

It reduces the float without reducing the figure

⚠️ ⭕ The money left, the float still says the old number, and the shortfall appears at a cash-up as an unexplained difference.

⇒ ⭕ Three people, a few times each, over a year. ⭕ Most operators cannot name the total, and the total is usually several times what they would have approved as a single decision.

Not whether to be generous — what the answer is before somebody is standing in front of you.

⇒ ⭕ The decision made in the moment is made under pressure, on the relationship, with no record. ⚠️ ⭕ The same decision made in advance is a policy and can be applied evenly.

If anybody with access to cash can advance it, you have no policy. ⚠️ ⭕ One named person, and the same one every time.

The alternative worth knowing

⇒ ⭕ Often the real need is not a loan but a shorter gap between working and being paid. ⛔ Whether you can change that is a question for your adviser — but it addresses the cause rather than the symptom.

If there is already an outstanding balance

Most venues have at least one. This is how to deal with it without making it worse.

Work out your figure and ask for theirs

⚠️ ⭕ Before saying anything about what is owed. ⭕ If they match, this is administration. If they do not, it was always going to come out — better now than at the end.

Do not recover it unilaterally

⛔ ⚠️ Whatever the balance, taking it from pay without agreement is where the legal exposure is. ⭕ Ask before you act.

Agree the rest in writing, once

⇒ ⭕ One conversation, one figure, one schedule. ⚠️ ⭕ Repeated partial conversations are how the two memories drifted apart in the first place.

And treat what cannot be recovered as decided

If a balance is years old and the person has gone, it is not an asset. ⛔ How to treat it in the books is a question for your accountant — operationally, carrying it forward only distorts your own numbers.

The balance test

Ask what is outstanding across everybody. ⇒ A figure means it is recorded. "Not much" means it is not, and it is more than that.

The two-figures test

⚠️ Ask the person their figure and compare. A difference is the finding, and it grows with time.

The authority test

Working     — one named person decides, and the record is written as the money moves
Not working — anybody with the safe combination can do it, from memory

Date, amount, what was agreed, every repayment and the balance after each — signed by both, written as the money moves, kept with the cash records. ⛔ Settle with your adviser whether you may do this at all and how anything may be recovered, before either. Kept there, both sides can state the same number and a generous decision stays generous. Kept nowhere, the person you helped ends up in a disagreement they cannot win, and you find out the total only when somebody leaves.
