The Door: Where Your Night Is Decided

Door pace, the queue as a signal, comp entries, re-entry, and the ID check that quietly costs you thirty seconds a head. What the front of house actually controls, and the numbers that show it.

Most of what a night venue can control happens in the first ninety seconds of a guest's evening, on the pavement outside.

Who gets in. How fast. In what order. Who pays. Who is turned away and how they feel about it. The door sets the composition of the room, the pace it fills at, and the story people tell about the night afterwards — and in most venues it is run entirely on the judgment of whoever is on it, with no numbers attached at all.

This is what the door actually controls and how to see it.

Door pace: the number nobody writes down

Door pace = admissions ÷ minutes, measured in 15-minute buckets across the night

Not a nightly total. The total tells you how many came; the buckets tell you when, and when is what you can staff against.

What the shape tells you:

  • A sharp early spike means your promotion is landing but your room fills before the bar is warmed up — and a room that peaks at 11 empties at 1.
  • A flat curve usually means the door is the constraint, not demand. People are arriving faster than they are being processed.
  • A late spike with a queue at 1am means you are turning away the guests who spend the most, because late arrivals in this business are rarely cheap.

Distinguishing "the door is slow" from "nobody came" requires the queue, which is the next number.

The queue is a signal, not a problem

Operators treat a queue as something to eliminate. It is more useful as an instrument.

Queue depth  = people waiting, sampled every 15 minutes
Wait time    = minutes from joining the queue to being admitted
Balk rate    = people who joined the queue and left before entering

Balk rate is the expensive one and almost nobody measures it. Someone who queued and left is demand you paid to create, that arrived, and that you lost at the last metre. They also do not appear in any report — no transaction, no admission, nothing.

Counting it is cheap: the door staff mark a tally when they see someone leave the line. It will be an undercount. It is still the difference between a number and no number.

And a queue has a second function that a fully-efficient door destroys: a visible line is social proof to people walking past. The optimum is not zero wait. It is short enough that few balk and long enough to be visible — a range you can only find if you are measuring both wait time and balk rate.

Where the seconds actually go

If the door is the constraint, the fix is finding what each admission costs in time.

ID check      — the largest fixed cost, and legally non-negotiable
Payment       — cover, if charged, and how it is taken
List check    — guest list, promoter list, reservation lookup
Search        — where applicable
Stamp / band  — the fastest step, usually

Two of these are compressible without touching compliance:

Payment. Cash at the door is slow — it requires a float, making change, and a hand that is not checking IDs. Taking cover at the point of booking, or by card, removes it from the critical path entirely.

List check. If the door is looking a name up on a phone, in a chat thread, or on a printed sheet that someone has to scan with a finger, that is easily fifteen to thirty seconds per party. A searchable list on one screen, with promoter and reservation in the same place, is the single largest compressible cost at most doors.

The ID check is not compressible and should not be treated as though it were. It is the one step where speed is the wrong objective.

Comp entries: the discount with no invoice

Every comped entry — industry night, a promoter's list, a friend of the house, a waived cover — is a discount. Almost none are recorded as one.

Comp entry rate = free entries ÷ total entries
Effective cover = door revenue ÷ total entries

Effective cover is the honest number. A posted cover of $30 with 60% of the room walking free is a $12 cover, and it should be compared against other nights as $12. Rooms that quote the posted figure back to themselves consistently overestimate what the door produces.

The field that makes comps useful rather than just costly: who authorised it. A comp issued to fill a slow Tuesday is a tactic. One issued because someone owed a favour is a withdrawal. They look identical in the revenue line and different in a comp log, and the only way to separate them later is to have written down the name at the time.

Re-entry: the number that corrupts everything else

Re-entry policy sounds like a service question. It is a measurement question.

If guests can leave and return and are counted twice, your door count is inflated by an unknown amount — and door count is the denominator of nearly every useful ratio in the building.

Spend per head  = revenue ÷ door count
VIP conversion  = rooms sold ÷ door count
Effective cover = door revenue ÷ total entries

Inflate the denominator and all three understate. You will conclude your guests spend less than they do and price accordingly.

The fix is a distinction, not a policy change: count admissions and unique guests separately. A stamp or band already distinguishes them physically; the door just has to record it. You do not need to ban re-entry. You need to stop counting it as a new person.

The composition question

The last thing the door controls is the least measurable and the most consequential: who is in the room.

Ratio, age, groups versus singles, regulars versus first-timers — every door makes these calls all night, and they determine the room's atmosphere far more than the music does.

We are not going to hand you a formula for this, because the judgment is genuinely a human one and any number we offered would be a worse version of what a good door person already does.

What is worth recording is the outcome, not the rule: what the room looked like at 1am, and what it spent. Do that for eight weeks and the door's judgment becomes something transferable to the next person who works it — instead of leaving with them.

What to record

Five fields, on a clipboard or a screen:

time (15-min bucket)
admissions
comps (with who authorised)
re-entries
balks (tally)

Every number in this guide comes from those five. None of it requires software — though after eight weeks of writing it down, most rooms want somewhere better to put it.
